Data Groups

A data group is a named bucket contacts are assigned to: a branch, a caseload, a cohort, a mailing audience. Groups can be nested, so a group can live inside another one, and one group per space is the default that receives every new contact.

Important
Data groups are not permission groups. A data group says which contacts belong together; a permission group says what a person is allowed to do. They are separate things on separate pages — see Who Can See What for permission groups.

Where to find it

ScreenWhere it livesWhat you need
Data groups — /admin/data-groupsSettings → Data model → Data GroupsPermission to read groups; writing needs the write permission, and setting the default is a level-2 action

The catalogue

Each row shows the group's Name, Type, how many Members it has and its Order; a long catalogue pages. Two badges matter:

  • Default — this is the group new contacts land in. Exactly one group per space carries it.
  • Nested — the group sits inside a parent.

Filter the list by Type (or leave it on All types) to narrow a long catalogue.

Click a row to open the group's own page: its name, its badges, its description, and the Members panel. ← Data groups takes you back to the list.

Creating and editing a group

Press + New group, or open a group and press Edit:

  • Name and Description — what people read. The description is shown at the top of the group's page.
  • Type — the kind of group this is.
  • Parent group — pick one to nest this group inside it, or leave it at — None — for a top-level group.
  • Order — where it sits among its siblings.

Members

The Members panel lists who is in the group — Contact and the date each was Added — and pages through a long membership. Add a contact by typing its id into Contact ID to add and pressing Add member; remove one with Remove on its line, which asks you to confirm by name first.

The default group

Make default moves the default badge to the group you are looking at. From that moment, new contacts in this space are assigned to it. The previous default keeps every member it already had — only where new contacts land changes.

Setting the default is a level-2 action: you will be asked for your password.

Removing a group

Remove at the top of a group's page deletes the group, after you confirm. It is refused while the group is the default group or still has members: move the default elsewhere and remove the members first.

If somebody else changed the group while you had it open

The page does not overwrite their work. It says This group changed since you opened it. Reload the current version before saving., and offers Reload latest — you see the current version, and then decide what to change. Nothing of yours is lost silently and nothing of theirs is lost at all.

Tip
Groups are a first-class thing to filter on: a filter condition can ask for membership of a group, so "everyone in the VIP group" is an ordinary filter. See Filtering & Searching, and Contacts for how group membership reads on a record.
